Filing a procedure with authentication and tracking its status

MyGuichet.lu allows to complete administrative procedures online by making available web forms (also called 'online assistants'). These forms are both adaptive and dynamic, meaning that they:
- have been developed to automatically adjust to the size of the screen in order to simplify entering data, whichever device you may be using (computer, tablet or smartphone);
- adapt their online content in real time depending on the answers you provide, for example by:
- only displaying information that is relevant to you so that you do not need to complete unnecessary fields;
- automatically calculating sums;
- offering to prefill fields with personal data issued from authentic sources and data you have added to your personal eSpace (private or business eSpace).
Prerequisites
The Luxembourg government's electronic platforms are protected by a strong authentication mechanism. For this reason, some online services on MyGuichet.lu can only be accessed through a strong authentication procedure. To access these services:
- you must first register on MyGuichet.lu with an authentication device; and
- then create a personal eSpace.

Advantages
A procedure with authentication has several advantages compared to the procedure without authentication, in particular:
- you can prefill the form with personal data from authentic sources and data you have added to your personal eSpace.
- it is possible to stop filling in the form at any time and resume the process later;
- you can monitor the processing of your file through a timeline and a history of the procedure;
- you receive a transmission slip with a GouvCheck QR code, which serves as proof that your procedure has been sent to the relevant authority.;
- the consultation of messages (request for information, additional information, etc.) received from the relevant body;
- at the request of the relevant body, the subsequent correction of a procedure that has already been submitted;
- where applicable:
- consultation of payment information;
- you can duplicate a procedure, thereby creating a new procedure that has the same entries in the application form with a single click.
Services catalogue
In your personal eSpace, you can find a services catalogue listing all the on online services offered by MyGuichet.lu, including the procedures requiring authentication which are currently available. To access the services catalogue from the home page, you can choose to click on:
- 'Services' in the navigation toolbar below the header;
- 'Services catalogue' or 'Go to services' in the Quick access section.
In the adaptive view on a mobile device (smartphone or tablet), the navigation bar below the header is not displayed. Instead, tap the side menu (≡) to display all options.
Searching for data in the services catalogue
In the services catalogue, you can search for online services by keyword, theme or body.
- Search by keyword
- Search by theme or body
The keyword search is an exact search. This means that the search engine will only look for the term you entered, without its variations or interpretations. For example, if you enter 'Family support allowance', the search engine will not find any results, as this procedure is registered as 'Family benefits' in the services catalogue.
If you start the search without entering anything (i.e. if you click on the magnifying glass without entering anything in the search bar), you will access the entire service catalogue, without filtering by theme or body, as was the case in the previous version of MyGuichet.lu. If you then enter your keyword in the search bar, the results will be filtered directly according to your entry. This allows you to immediately see all the results that match your search and anticipate any input errors (typos, incorrect titles, etc.).
If you do not know the exact title of an online service, you can also search by theme or body.
The themes correspond to those presented on the Guichet.lu information portal. If you search for a specific body, online services are always listed under the main contact body responsible for processing the file.
In the list of search results, you can tick the service type 'Procedure' in the filter options so that only procedures are displayed. However, if you do not know whether the online service you are looking for is listed as a procedure or data in the services catalogue, it is recommended that you do not activate this filter option and search the entire range of services.
As an alternative to the services catalogue, you can also find direct links to online services available on MyGuichet.lu. These are available in the explanatory information pages on the Guichet.lu information portal under 'Online services and forms'.
Favourites
To save you from always having to search the catalogue for frequently used services, you can mark individual online services (i.e. procedures and data) as well as themes or bodies and include them in a favourites list.
To mark an online service as a favourite in your personal eSpace, move your mouse over the corresponding field in the desktop view and click on the star symbol. In the mobile app, you must click on the 3 dots and then on 'Add to favourites'.
You will find all the services, themes and bodies that you have marked as favourites in the 'My favourites' section. All favourites are listed by default in ascending order according to their date of addition, but you can rearrange them at any time according to your needs.

Status
In the 'My procedures' section, you can filter the procedures you have carried out with authentication according to the following statuses:
- 'In preparation' means that the file is saved in your personal eSpace, but that you have not yet sent it to the relevant body.
- 'Sent' means that you have submitted the file to the relevant authority. Procedures with this status do not require any action on your part.
- 'To be corrected' means that the relevant authority has sent the procedure back to you for correction, for example because information or supporting documents are missing.
- 'Closed' means that the relevant authority has finished processing your file.
Timeline
A timeline is also available for each procedure with authentication you have created. The timeline indicates the different steps already completed and those that you still need to complete. This will guide you even better through the procedure.
History of the procedure
The history of the procedure allows you to see:
- which user and/or body has made changes to the procedure (signature, transmission, status change, etc.); and
- when (with the exact date and time).
Submission of the file
No information is transmitted until a procedure has reached the 'Sent' status. If there is a deadline for submitting a file (e.g. for tax returns or AideFi applications), you must transmit the procedure online via MyGuichet.lu within the specified time limit. Submissions after the deadline are not possible and will not be taken into account.
Certification of a business eSpace
Online services in certain sectors (food safety, social elections, etc.) are only accessible via a certified business eSpace.
