Medical assessment procedure for seasonal employees

Businesses and companies operating in the agriculture, viticulture and horticulture sectors must register their seasonal or casual employees with the Health Directorate – Occupational Health Department (Direction de la santé – Division de la santé au travail).

As the manager of a farm or business operating in the agriculture, viticulture or horticulture sectors, you must follow a specific procedure when hiring seasonal or casual employees.

To simplify the mandatory medical formalities associated with hiring, a custom multilingual form has been made available, which you simply send to the relevant departments.

Who is concerned

Any business or company active in the agriculture, viticulture and horticulture sectors that employs seasonal or casual employees who are nationals of an EU member state.

Prerequisites

The physician, whether a general practitioner or specialist, who completes the form must be authorised to practise:

  • in Luxembourg; or
  • in another EU country.

How to proceed

Medical forms

You must:

  • download the form (see 'Online services and forms' below);
  • have it completed by a physician;
  • send the completed form, by email only, to the Occupational Health Department (within the Health Directorate – Ministry of Health and Social Security).

Completing the form

It is the physician's responsibility to complete all required fields on the form and sign it by hand or electronically.

The physician may then forward it either:

  • to the employee concerned; or
  • directly by email to the Occupational Health Department.

Sending the form to the Occupational Health Department

The Occupational Health Department receives the form in one of 3 ways:

  • from the employee. The employee concerned, who has previously received the completed form from the physician, may send it directly by email to: seasonalwork@ms.etat.lu; or
  • from the physician. The physician may send the completed form directly by email to: seasonalwork@ms.etat.lu; or
  • from the employer. If the employee voluntarily submits their medical form to their employer, the employer may also forward the form by email to the Occupational Health Department.

Please note: paper forms sent by post will not be accepted.
